An exciting opportunity as arisen within the IT Team of Corporate Services. We are looking for a driven and enthusiastic individual to fill the post of Assistant Business Process Analyst. 

In this role you will use and develop your skills to assist the Business Process Analyst in the ongoing review, redesign, implementation and support of key business systems and modules relating to the Associations main Housing QL system. This includes data analysis, organization and execution of end-user testing, presenting in verbal and written form.

Previous experience/qualification in:

  • using MS Office, in particular the advanced use of Excel for data analysis is essential
  • working with SQL reporting services and designing reports is desirable
  • solving problems related to operational processes is an advantage
  • working in Housing Sector or Public sector is an advantage
  • one of the following areas is desirable: 
  • Microsoft MCSA (Database development)
  • SQL and T-SQL for MS SQL Server 2016/2019
  • Computing Science, Data Science, Computing-Application Development
  • Economics and statistics

Overall Purpose of Job:

  • To assist in the design, production and review of business systems and through this help the Association in delivering its digital goals to staff and customers.
  • To support business with data analysis and implementation of Data management.

 

Principal Responsibilities:

  • Assist the lead Business Process Analyst (BPA) in the implementation of new or redesigned processes and provide continuous improvement and time savings for the Association across all areas of the business ensuring these are recorded.
  • Link to and liaise through IT to all other departments to gain an overall understanding of ongoing work within the Association.
  • Under the guidance of the BPA be the overall Aareon QL main contact point for queries and support .
  • Use a change request system to triage and track changes.
  • Co-ordinate and execute user acceptance testing for new modules, interfaces and changes to the system including that of QL upgrades and changes to the Customer Portal.
  • Participate in project meetings, IT team meetings and other systems working groups as required.
  • Depute for the BPA when required.
  • Assist the BPA in the development of integration solutions for software or processes connecting disparate systems together.
  • Assist in the audit and review of existing departmental workflows, working with the BPA, digital groups, project managers and other teams to implement change and breaking down information silos to ensure data is accurate, consistent and accessible.
  • Assist staff to improve internal controls and documentation and work to ensure compliance with regulatory, audit & legal requirements.
  • Process map and document (workflow map, system screenshots, written description) existing business processes to support delivery of a digital business model aligned with our digital strategy.
  • Assist staff with collection and analyses of data related to business processes, data audit and correction.
  • Assist the BPA in the creation and maintenance of reports, dashboards and reporting solutions with SSRS and Excel, consulting with staff to ensure the reports deliver their requirements.
  • Provide system administration for the QL System including new user setup, passwords, work trays and workflow configurations.
  • In conjunction with the BPA prepare and deliver QL training where needed assisting with the design, production and review of user guides.
  • Carry out all duties of this post in accordance with the relevant Association policies and procedures including Equal Opportunities Policy Job Activities Managing Employees Job holder as part of the role will assist and support end users across the organisation in respect of systems and processes.

  • Maintain systems change log - input, amend and delete data on systems
  • Check and test interfaces and upgrades and keep track of Issue Log
  • Create and maintain QL guides and training materials (presentations, videos)
  • Physical Resources
  • Working with controlled, sensitive and business critical information and data that exists within the organisation when issues occur. i.e. customer and financial data whilst evaluating processes and supporting change requests.
  • Relationship with Others Internal clients in the delivery of development, support, advice and training in respect of systems in written and presentation form.
  • Training and mentoring via the Business Process Analyst.
  • External liaison (when needed) with the Associations contractors that use the QL system as a self-service tool for orders and invoicing.
  • Level of Decision-Making (Detail decisions the jobholder is authorised to take and specify any relevant dimensions e.g. monetary values).
  • Technical decisions to optimise delivery and drawing on specialist knowledge.
  • Organisation/Planning Junior role in planning and delivery of QL upgrades and patches/fixes.
  • Assisting in the planning of projects in relation to the QL system and identify with the Information Systems Manager any resource needed in terms of software and person hours.
  • Freedom to plan and prioritise own work to meet set objectives given from the BPA and support the business plan and IT team objectives.
  • Working as part of different project teams.
